We collect what we need to verify people, take payment safely and run your stay. Nothing more.
We never store your NIN, BVN or ID document number. Our verification partner confirms your identity and returns only a result, which is what we keep.
We do not sell your data, and we do not share it for anyone else’s advertising.
You can ask us for a copy of your data, ask us to correct it, or ask us to delete it.
1.1 Kwana Technologies Limited (RC 9818472) is the data controller for the personal data described here. We operate the Kwana app and website at app.kwana.ng from Abuja, Federal Capital Territory, Nigeria.
1.2 This policy is written under the Nigeria Data Protection Act 2023. It explains what we collect, why, who we share it with, how long we keep it, and what you can ask us to do.
1.3 For any question about your data, or to exercise a right in section 7, write to privacy@kwana.ng. Put “Data request” in the subject line so it reaches the right person quickly.
| What | Why we need it |
|---|---|
| Name, email address and phone number | To create your account, confirm bookings and contact you about a stay |
| Identity verification result | To confirm you are a real, accountable person before you book or host |
| Booking details: dates, apartment, price, references | To run the booking and keep a record of it |
| Payment records: amount, method, status, reference | To take payment, release it to the host and issue refunds |
| Messages you send us in the app or on WhatsApp | To answer you and to resolve disputes fairly |
| Photographs or video you send with a report or claim | To decide a mismatch report or a damage claim |
| Device and usage information, including IP address | To keep the service working and to detect fraud and abuse |
2.1 Hosts also provide documents showing they may let the apartment, safety photographs of the apartment, payout account details, and optionally a CAC certificate.
2.2 Location. If you use a feature that needs your location, your device asks your permission first. You can refuse and still use Kwana.
3.1 Identity checks are carried out by a licensed verification partner. You present a government ID and a live photograph of your face. The partner confirms whether they match.
3.2 We do not store your NIN, BVN, passport number, driver’s licence number or any other ID number. What we keep is the outcome of the check, the date, and a reference that lets the partner trace it if there is ever a dispute.
3.3 Where we offer it, we use a virtual NIN rather than your real NIN, so your number is never exposed to us in the first place.
3.4 Documents you upload directly to us, such as proof that you may let an apartment, are stored securely, seen only by the Kwana staff who need them, and deleted when they are no longer needed.
Under the Nigeria Data Protection Act 2023 we rely on:
5.1 We share only what each party needs to do its job:
5.2 We do not sell your personal data. We do not share it so that another company can advertise to you.
5.3 Some of these providers operate outside Nigeria. Where data leaves the country we rely on the transfer conditions in the Nigeria Data Protection Act 2023 and require the provider to protect it to the same standard.
| What | How long |

| Account details | While your account is open, then 12 months |
| Verification result and reference | While your account is open, then 12 months |
| Booking and payment records | 6 years, to meet Nigerian tax and financial record-keeping rules |

6.1 When a period ends, we delete the data or remove anything that identifies you.
Under the Nigeria Data Protection Act 2023 you may ask us to:
7.1 Write to privacy@kwana.ng. We will respond within 30 days. We may ask you to confirm who you are first.
7.2 If you are not satisfied with our answer, you may complain to the Nigeria Data Protection Commission.
8.1 Traffic between your device and Kwana is encrypted. Access to the systems holding personal data is limited to the staff who need it, and each person has their own account.
8.2 We collect as little as we can, and we do not hold ID numbers or card numbers at all.
8.3 No system is perfect. If a breach affects your rights, we will notify you and the Nigeria Data Protection Commission as the Act requires.
Kwana is for adults. You must be 18 or over to create an account, book a stay or list an apartment. We do not knowingly collect data from anyone under 18, and we delete it if we find it.
We use only what the service needs to work: keeping you signed in, remembering your theme, and understanding basic usage so we can fix problems. We do not use advertising trackers.
We may update this policy. Material changes are notified in the app before they take effect, and the version that applies to you is the one published at the time.
